Corporate Event Entertainment
A Simple Corporate Event Planning Outline
To Make Your Event Planning Easier
When planning your corporate entertainment event, there are steps that can make the process easier.
1. Prioritize Your Needs: Outline the entire event, decide on the most important aspects and budget accordingly. Without a budget in place, costs can skyrocket when creating an event.
2. Set Goals: Break your outline into action steps based on priority. These may include setting the date, scheduling the caterer, speakers and entertainment, etc. Give each step a deadline. By tackling the event one step at a time, the overall task seems smaller and your goals will be within grasp.
3. Be Creative: Seek input from co-workers, family and friends. You may be surprised at the connections others have. These can often lead to good deals that save your company and make your job easier.
4. Have A Back-Up Plan: The old saying, “If something can go wrong, it probably will”, has the potential to ruin perfect plans. By planning backups, if the sound system explodes, you’ll know exactly what to do so things can run smoothly.

Corporate Event Entertainment
Every corporate event planner wants to create a successful event. Sometimes being bold with your decisions can create an event everyone will remember. Unfortunately, forgetting the golden rule of corporate event planning may cause people to remember it for the wrong reason!
Good event planning means keeping your guests’ preferences in mind. As you make decisions, you have to constantly ask yourself if the choice would be accepted by a majority of people.
At a recent event, the planner had coordinated with the caterer to provide a Salmon filet as the main entree. The event planner loved fish, and the caterer was known for their fresh fish, but both neglected the fact that not everyone eats fish. Salmon is an acquired taste. Had there been other choices, the Salmon would have been greeted with enthusiasm by guests. Unfortunately the only other dinner choice was a vegetarian dish of wheat pasta and seasonal squash. The meal didn’t offer much for special diet needs or people with a limited palate.
As a result, many of the plates were picked over, and much of the food was wasted. Guests departed earlier than desired as they wandered off in search of something to eat. The next day, the meal selection was the main topic of conversation. Not exactly what the event planner had hoped.
In this case, the caterer would have been wise to advise adding a chicken dish. Even though the event planner wanted to be bold and chicken is generic, almost everyone will eat chicken, which makes it a safe entree to serve. That simple change would have followed the golden rule of corporate event planning.

Here are some tips to help you avoid surprises to your budget that may be associated with hiring a corporate entertainer.
Travel Expenses:
Your entertainer has to get to the event. Unless they are local, you may need to budget for airfare, baggage fees, ground transportation and lodging. These costs will be are over and above the fee your entertainer earns, and add to your programming expense.
Some corporate entertainers like to quote an all-inclusive fee and take care of their own travel expenses. This can save you the headache of trying to schedule appropriate flights and arranging pickup and drop off at the airport.
If you have a block of rooms already booked at the host venue, you may be able to save by providing lodging. Talk to prospective entertainers before they quote you to arrange the best deal possible.
Equipment Rentals:
As the presenter, you will likely need to provide equipment for the program. This is especially true if your entertainer is flying in. Your venue may already be providing a stage, especially if you are hosting an awards banquet. If not, remember that staging, backdrops, lights, sound and audio/visual equipment may need to be rented. These are important aspects of the program that need to be in place for your show to be a success.
Make certain you receive a technical rider from any corporate entertainers you are considering so you can calculate the costs of any rentals into your budget.
Hospitality:
Your corporate entertainer needs to be taken care of too. An entertainer who is hungry, or thirsty, or shuffled around prior to the performance can’t be at their best when on stage. You’ll want to find out if there are any special needs or food requirements that may be required.
Will you be providing meals? Or a per diem meal allowance?

SAVING YOUR CORPORATE EVENT BUDGET
Budgeting Do’s And Don’ts

Places To Save:
Venues – Shop around to get the best deal on your venue. Often a venue manager will throw in some extras to entice your business and save your budget.
Decorations – Cutting back on decoration expenses is a great way to save. Explore options for making the venue look great while saving cash.
Food Services – Talk with your caterer about cost saving measures. For example, buffets are usually less expensive than full service meals.
The Bar – Open bars are nice, but to truly save a few dollars, cash bars are an option.
Don’t Skimp On:
Food Quality – Taste test caterers before you select one. Go for the best tasting food available to please your guests’ palates. Even if the caterer is more expensive, you may be able to cut back on options and services as mentioned earlier. Never skimp on food quality!
Corporate Entertainment – The corporate entertainer you hire will make or break your evening. If you want your event to be fun, exciting and memorable, now is not the time to pinch your pennies. HOW CAN YOU MAKE FUN CORPORATE EVENTS?
What Is Fun? Everyone wants to have fun, but since everyone enjoys different things, how can you make sure your guests have fun at your next corporate event?
What makes things fun?
First you have to realize there is a difference between FUN and HAPPY. You could be HAPPY eating a great meal, but that doesn’t mean it’s FUN. You could be HAPPY that the doctor told you you are healthy, again, that doesn’t make it FUN.
One thing is certain though, when people have FUN, they’re usually HAPPY.
So how can you make your CORPORATE EVENTS FUN?
First, let’s start by looking at the definition of FUN…
As a Noun, FUN means: Enjoyment, Amusement, or Lighthearted Pleasure.
As an Adjective, FUN means: Amusing, Entertaining, or Enjoyable.
The Merriam-Webster dictionary describes fun as: what provides amusement or enjoyment; specifically : playful often boisterous action or speech
And the Urban dictionary describes fun in the words of SpongeBob – F is for Friends who do stuff together! U – is for you and me! and N is for anywhere and anytime…
So to create fun – you should start with friends. How can you create a feeling of friendship among people in your company, or event guests from around the globe? You’ll need to establish a sense of camaraderie. A good corporate entertainer can help create a shared audience atmosphere, which develops the proper atmosphere for fun.
Amusement and amusing where used in all of the reference definitions. People love to be amused, to laugh – to have fun!
So when you want your guests to have fun – think laughs – think comedy – think corporate entertainment by Tom Crowl.
Tom will have your guests involved, laughing and leaving with incredible memories that achieve the accolades you deserve.
