Every corporate event planner wants to create a successful event. Sometimes being bold with your decisions can create an event everyone will remember. Unfortunately, forgetting the golden rule of corporate event planning may cause people to remember it for the wrong reason!
Good event planning means keeping your guests’ preferences in mind. As you make decisions, you have to constantly ask yourself if the choice would be accepted by a majority of people.
At a recent event, the planner had coordinated with the caterer to provide a Salmon filet as the main entree. The event planner loved fish, and the caterer was known for their fresh fish, but both neglected the fact that not everyone eats fish. Salmon is an acquired taste. Had there been other choices, the Salmon would have been greeted with enthusiasm by guests. Unfortunately the only other dinner choice was a vegetarian dish of wheat pasta and seasonal squash. The meal didn’t offer much for special diet needs or people with a limited palate.
As a result, many of the plates were picked over, and much of the food was wasted. Guests departed earlier than desired as they wandered off in search of something to eat. The next day, the meal selection was the main topic of conversation. Not exactly what the event planner had hoped.
In this case, the caterer would have been wise to advise adding a chicken dish. Even though the event planner wanted to be bold and chicken is generic, almost everyone will eat chicken, which makes it a safe entree to serve. That simple change would have followed the golden rule of corporate event planning.

Travel Expenses:
Your entertainer has to get to the event. Unless they are local, you may need to budget for airfare, baggage fees, ground transportation and lodging. These costs will be are over and above the fee your entertainer earns, and add to your programming expense.
Some corporate entertainers like to quote an all-inclusive fee and take care of their own travel expenses. This can save you the headache of trying to schedule appropriate flights and arranging pickup and drop off at the airport.
If you have a block of rooms already booked at the host venue, you may be able to save by providing lodging. Talk to prospective entertainers before they quote you to arrange the best deal possible.
Equipment Rentals:
As the presenter, you will likely need to provide equipment for the program. This is especially true if your entertainer is flying in. Your venue may already be providing a stage, especially if you are hosting an awards banquet. If not, remember that staging, backdrops, lights, sound and audio/visual equipment may need to be rented. These are important aspects of the program that need to be in place for your show to be a success.
Make certain you receive a technical rider from any corporate entertainers you are considering so you can calculate the costs of any rentals into your budget.
Hospitality:
Your corporate entertainer needs to be taken care of too. An entertainer who is hungry, or thirsty, or shuffled around prior to the performance can’t be at their best when on stage. You’ll want to find out if there are any special needs or food requirements that may be required.
